Dear Renters,
Thank you for choosing Chapel Hill-Carrboro City Schools (CHCCS) for your facility rental needs. Please review the important guidelines below to ensure a smooth and successful rental process.
Application Timeline
All applications must be submitted at least 14 days prior to the event date.
Applications submitted fewer than 14 days in advance will not be reviewed or considered.
How to Apply
Visit rentals.chccs.org.
Select "Find a Space" and choose your desired location, date(s), and time(s).
You may select multiple dates, times, and sites as needed.
Important: If your rental falls on a school day, events may not begin before 4:30 p.m., unless it is an approved after school program.
All events must conclude no later than 10:30 p.m.
Once all details are finalized, submit your application through the portal.
Please note: Once submitted, you will not be able to add additional dates to your request.
Approval Process
The school will first review your request for initial approval or denial.
If approved, your application will be forwarded to the district for final review, pricing, and agreement preparation.
Note: Some requests may be declined or reassigned at the district level due to availability or other considerations.
All fees are mandatory and non-negotiable.
Communication
All communication regarding your rental must be conducted via the portal message board.
You may also reach out to the assigned school facilitator by phone if needed.
Agreements & Cancellations
Once your rental agreement is prepared, it must be reviewed and accepted promptly.
Failure to accept your agreement within 72 hours of approval may result in cancellation, and you will need to reapply.
To avoid charges, cancellations must be made at least 5 days prior to the event date.

To review our Community Use Policy (Board Policy 5030), visit www.chccs.org:
Hover over “Our District” at the top of the page.
Click “Board of Education” from the drop-down menu.
Select “CHCCS Board Policies” on the right-hand side.
Navigate to “5000 – Community Relations” and click on Policy 5030.
